1. Research focused privacy policy
Most of our activities and technologies imply the use, generation and sharing of open data from our users. We try our best to keep all tracking technologies in-house; and the data, being open by nature, is not for sale. The data we gather is most of the time in a research context, rather than a commercial one; nonetheless we try to keep the latter at a minimum.
This policy describes Arcadia Global’s general approach to privacy. Individual websites, applications, research platforms and services may have additional notices or requirements. Where applicable, those notices explain the specific data practices of each service.
2. Who we are
Arcadia Global is operated by Arcadia SAS, Colombia.
Data controller: Arcadia SAS
Privacy contact: [email protected]
Registered address: #148 – 65 K 7F
This policy is intended to comply with Colombian Law 1581 of 2012 and its applicable implementing regulations, alongside other applicable data-protection laws.
3. What we collect and why
Depending on the service and your relationship with us, we may collect or generate:
Technical data: IP addresses, device information, logs, cookies, analytics and usage records.
Research data: AI prompts and responses, votes, ratings, feedback, annotations, task results and human evaluations.
Account data: Contact details, private identifiers, preferences and participation history.
Professional data: Skills, work history, assessment results and other information relevant to professional activities.
Operational data: Information required for applications, contracting, financial operations, compliance, security or legal obligations.
We use this information to operate and secure services, conduct research and development, evaluate AI systems, study human-AI interaction, develop products, support professional opportunities and fulfill legal obligations.
Sensitive information or assessments may be processed when a particular research project or operational activity requires them. They are not a default requirement for ordinary website visitors or research participants.
4. Research, AI and open data
Research is central to Arcadia Global. We may analyze, reuse, aggregate, publish or share research results and datasets for scientific, technical, educational or product-development purposes.
Where practical, research contributions are separated from direct personal identifiers. For example, our LLM arena stores conversations, votes and feedback in individual files associated with private user identifiers, rather than attaching direct identifying information to each contribution.
Research files are intended for restricted internal use unless a specific service or notice states otherwise. They are not necessarily public simply because they are used for research.
We may retain research records for extended or indefinite periods when justified by research or operational purposes and permitted by applicable law. Aggregated or genuinely anonymized results may remain after an individual’s identifiable records have been deleted.
Private identifiers, restricted access and non-human-readable storage formats are safeguards, not guarantees of anonymity. Information that can still be linked to an identifiable person remains subject to applicable data-protection requirements.
We do not sell personal data as a business model. However, research information may be processed by service providers or shared with authorized research partners under applicable terms and legal requirements.
5. AI providers and third-party services
We combine self-hosted open-source infrastructure with external services. Our general website analytics and marketing infrastructure may include Google Analytics, Google Tag Manager, self-hosted Matomo and self-hosted Mautic.
AI providers might use different privacy and retention policies depending on their usage mode and subscription type. For arena and research related activities is safe to assume that those policies prioritize the openness of data and indefinite retention if such data is used in the training of new models. For more information you can check current privacy and retention policies directly with each provider we might offer in our platforms.
Third-party AI providers and privacy policies
When requests are sent to external AI services, prompts, outputs and associated technical information may be processed under the relevant provider’s terms. Depending on the provider, service, model and configuration, information may be retained, used for model improvement or handled by additional subprocessors.
Research grants, partnerships and particular integrations may involve different retention or processing arrangements. We do not guarantee that external providers follow our retention practices or that all processing occurs in Colombia.
Review the applicable service notices. DO NOT submit confidential, sensitive or identifying information in our public services. Additional trackers and third-party integrations may be present on individual websites or applications.
6. Retention, deletion and security
We retain personal and research data for as long as reasonably necessary for the purposes described in this policy, including research, development, professional operations, documentation, security and legal compliance. Research datasets may be retained indefinitely where justified and legally permitted.
Users may request access to, correction of or deletion of their personal data by contacting [email protected]. Requests are handled manually where necessary.
Our customer data management form does not automatically cover every application, research arena or independent platform. Requests may need to be processed separately in the relevant systems. We will honor applicable requests to the extent required by law and technically feasible.
Deleting an account or identifiable record may not remove information already incorporated into aggregated or anonymized datasets, published research, distributed copies, backups or derived results. We will assess applicable requests according to the nature of the data and the relevant legal requirements.
We use self-hosted and open-source infrastructure where practical, restrict internal access and use private identifiers to separate account information from research contributions. No system can be guaranteed completely secure.
7. Professional participation and verification
Arcadia Global researches and develops tools related to Future of Work, professional skills and human, businesses, and AI collaboration. These activities do not, by themselves, make Arcadia Global a job board, recruitment agency or formal employment intermediary.
When someone applies for or is selected for work with Arcadia Global or its partners, additional information may be processed for selection, contracting, financial operations, compliance and other legitimate operational purposes.
Where applicable and legally permitted, verification may include identity, age, sanctions, criminal-record, credit-record or other compliance checks required by a particular operation or local regulation.
We do not request government identification numbers or financial information by default from ordinary visitors or research participants. Such information may be requested when a particular application, engagement or regulated activity requires it.
Our services are not designed for children. Some professional opportunities may be available from the legal working age in the user’s jurisdiction. Where an application or activity involves a person who may be a minor, additional verification, authorization or safeguards may be required under applicable law.
8. Cookies and tracking
We use cookies and similar technologies for functionality, security, analytics and marketing, depending on the service.
We aim to keep tracking infrastructure under our control where practical. Third-party integrations may collect information independently or use their own cookies. Browser and device settings may restrict some tracking, although functionality may be affected.
Where consent is legally required, applicable tracking technologies should not be activated before the required consent is obtained.
9. Your privacy rights
Under Colombian Law 1581 of 2012 and other applicable laws, you may have the right to:
Access your personal data and request information about its use.
Correct, update or request the deletion of inaccurate or unlawfully processed information.
Request evidence of authorization where applicable.
Withdraw authorization or request deletion where legally available.
Lodge a complaint with the Colombian Superintendence of Industry and Commerce (SIC), following the applicable procedure.
Contact [email protected] to exercise your rights or ask questions about how your information is processed.
Requests will be handled under applicable legal deadlines and procedures. Any limitation must be assessed under the relevant law; technical constraints do not automatically override statutory rights.
10. Changes and additional notices
We may update this policy as our services, research activities and legal obligations evolve. Changes will be communicated where required by law.
This policy provides a general overview, not a guarantee that every product follows identical practices. Individual services may provide additional disclosures, consent requests or terms.
